The booking form
When you submit the booking form, Poloma receives your name, requested date, start time and duration, the email address and/or telephone number you provide, your project description, your acknowledgement of the booking terms, and basic technical information needed to securely deliver and protect the request.
This information is stored in Poloma's booking system and used to review your enquiry, manage availability, discuss project fit, schedule or change the booking, and respond to you. Submitting a request does not reserve a time or create a client relationship.
Information received
When you use the booking form, contact Poloma by email, or use another direct channel, Poloma may receive your name, email address, telephone number, organization, preferred date, project details, budget, timeline, and anything else you choose to include.
The website's hosting provider may process basic technical information needed to deliver and protect the site, such as an IP address, browser or device type, requested page, and request time.
How information is used
Poloma uses personal information only for reasonable purposes connected with the contact or client relationship, including responding to enquiries, discussing availability, assessing project fit, preparing estimates or proposals, providing agreed services, maintaining necessary business records, protecting the website, and meeting legal obligations. Poloma does not sell or rent personal information.
Consent and disclosure
By submitting the booking form or contacting Poloma, you consent to the reasonable use of the information you provide for the purposes explained at the time of collection and in this policy. Information may be processed by website hosting, database, authentication, email-delivery, inbox, and calendar providers acting for Poloma. Confirmed booking details may be synchronized to Poloma's Google Calendar; private administrator notes are excluded from customer messages and calendar events. Information may also be disclosed when needed to complete an agreed service, comply with law, or protect legal rights. A service provider may process information outside Ontario or Canada, where it may be subject to local law.
Secure booking and administrator links
If you provide an email address, Poloma may send a secure link that lets you view the request and ask for a change or cancellation. Treat that link as private because anyone who possesses it may be able to view the associated booking details. Poloma administrators access the private scheduling area through authenticated accounts restricted to an approved email list.
Retention and safeguards
Poloma retains personal information only as long as reasonably needed for the identified purpose, necessary business records, or legal requirements, then securely deletes or anonymizes it where practical. Reasonable administrative and technical safeguards are used according to the sensitivity of the information. No method of internet transmission or storage can be guaranteed completely secure.
Cookies and external links
As of the revision date, Poloma does not use advertising or analytics cookies on this website. The site links to third-party services, including Instagram. When you follow an external link, that service's terms and privacy practices apply.
Access, correction, and complaints
